For law firm owners

Give every new inquiry a clear next step.

For firms seeking a more consistent administrative handoff from inquiry to consultation. We start with the process, responsibilities, and tools—without collecting confidential matter details.

Timeline and scope agreed before work begins. Describe a workflow to start a conversation.

The work around the work

Which problem keeps
coming back?

Start with the workflow your team keeps chasing. It gives the diagnostic a concrete place to begin.

01

An inquiry has no clear owner.

The team needs a consistent route from first contact to the person responsible for the next step.

02

Consultation scheduling creates extra chasing.

Administrative updates are passed between inboxes and people without a shared process.

03

Exceptions keep reaching the partner.

Routine handoffs and approvals consume attention that could be directed to higher-value work.

Best fit: Firms ready to improve administrative intake and handoff ownership, with the appropriate internal decision-makers involved. Not a fit: an undefined, business-wide rebuild without time for interviews, testing, or team involvement.

Business Systems Diagnostic

Know what to fix
before you buy another tool.

SCOPE AGREED BEFORE KICKOFF

A defined review of one important workflow. You receive a written roadmap that turns the findings into practical next steps.

See if we're a fit

The proposal confirms interviews, access, deliverables, timeline and responsibilities. No implementation commitment is required to receive the diagnostic deliverables.

  • Owner and relevant team interviews
  • Current workflow map and tool audit
  • Baseline measures and bottleneck findings
  • Ranked improvement opportunities
  • Written roadmap with dependencies and priorities
  • A scoped implementation recommendation

What comes next: implementation

Configure suitable tools, improve handoffs, or build agreed integrations and custom systems. Test with the team, train users, and document the rollout.

Optional ongoing support

Review adoption and performance, maintain the agreed systems, and prioritize further improvements within a defined support scope.

Full onboarding. Direct collaboration. At kickoff, agree your project lead and point of contact. Work together to define what you want, review demonstrations, and provide feedback. Requirements and approval criteria guide the build, training, and handover.

Use client-controlled accounts where practical, limit access to what the work requires, and agree ownership, permissions, documentation, and handover in the engagement scope.

WHAT A REBUILD COVERS

The parts of the business we rebuild.

Quoting and follow-up

every open quote has an owner and a next step.

Scheduling and handoffs

the day's work moves without you in the middle.

SOPs

the way the business runs, written down and actually used.

KPIs and reporting

the numbers that show leaks while they are still small.

Lead and customer flow

from first inquiry to paid invoice, one connected path.

Custom integrations and builds

the connections and systems off-the-shelf software never gave you.

Every build is scoped and priced in writing before work begins. Nothing here is a promise of results; it is the list of places we work.

A focused first engagement

Understand the problem.
Agree the next step.

You see the proposed scope before work starts. Implementation is a separate decision, informed by the diagnostic.

01 / DEFINE

Choose the starting workflow.

Identify the recurring problem, involve the right people, and agree the diagnostic scope and timing.

02 / DIAGNOSE

Follow the work.

Interview the owner and team, review the tools, and map where information, decisions, or tasks stall.

03 / DECIDE

Keep the roadmap. Pick a fix.

Review ranked improvements and a scoped recommendation. Choose whether to implement with us or use the roadmap independently.

Before we begin

Clear scope.
Clear answers.

How long does it take?

The diagnostic timeline is confirmed in the proposal based on interviews, access, and scope. Implementation has its own schedule; dates are agreed before committing.

What do I get if I only buy the diagnostic?

Your agreed workflow map, tool audit, bottleneck findings, ranked improvements, written roadmap, and next-step recommendation. Implementation is a separate choice.

Do we have to buy new software?

We review your current tools first. Better configuration, clearer ownership, or a connection between tools may be enough. Replacement or custom development is proposed where it has a practical advantage.

Can you work with your existing intake, scheduling, and administrative software?

We review the relevant tools, available access, integration options, and limitations during the diagnostic. Specific connections are confirmed before they are included in an implementation scope.

How do you help the team adopt it?

The people doing the work contribute to the requirements and testing. Implementation includes the agreed training, operating guidance, and handover so the team can use the workflow.

Who owns the systems and accounts?

We agree account control, custom-work ownership, licensing, and handover in the written scope. Use client-controlled accounts where practical. Third-party subscriptions remain subject to their provider terms and are identified separately.

What happens if we need a change or support?

Implementation acceptance criteria and any defect-support period are agreed before work starts. Additional requirements use a documented change request. Ongoing support has its own capacity, responsibilities and scope.

What should I avoid putting in my inquiry?

Confidential client information is excluded from the initial assessment. Any later workflow involving it needs firm and counsel review. Do not include passwords or confidential customer, patient, or client information. Describe the process instead.
